Game Cancellation/Reschedule Determination and Procedure

Please do not can­cel games the day before based upon weather fore­casts.  

RAIN OUT LINE: The Madison Parks DPT hotline is no longer active. IF parks are closed due to weather, Parks will email Regent SC. Coaches will hear directly from a Regent SC representative if Madison parks are closed due to weather by 2:30pm.


Kinde, U7/8 Procedure

The deci­sion to call and/or reschedule a match due to weather or conflict is up to the coaches. These age groups do not use official referees or fields therefore notifying Regent is not necessary.  If there is a con­flict over a field between a re-sched­uled game and a prac­tice, the game takes precedence.

U6-U8 Coaches should make a deter­mi­na­tion as early as pos­si­ble on the day of the match as to whether or not recent or cur­rent weather con­di­tions war­rant can­cel­ling a game. This allows both coaches ample oppor­tu­nity to notify all play­ers and parents.

 

U9/10 In-House Procedure

Once the pre­lim­i­nary sched­ule is released, there will be an 7-10 day "Rec­on­cil­i­a­tion period."  Dur­ing this Rec­on­cil­i­a­tion period it is up to coaches to check their cal­en­dars (and communicate with their teams), to make cer­tain there are no con­flicts.  If there is a con­flict and you need to resched­ule a game, you must re-schedule it during the Reconciliation period. 
Here is the process for re-scheduling a game: 
  • the coach with the conflict will contact the opposing coach/manager with a proposed alternate time, date and field.
  • After the coaches agree to the change, the coach with the conflict will use this Schedule change request form only.
  • The match is NOT considered changed until you hear back from one of the directors.  This will ensure field reservation with Madison Parks has been completed AND the referee scheduler has been updated.
 
Exception - If there is an Alliance-wide match can­cel­la­tion due to the Madison Parks clos­ing the fields (ie due to weather), teams can also re-sched­ule those matches using ONLY the above procedure.
 
All matches are expected to be played.  If there are exten­u­at­ing circum­stances where you need to can­cel a game, you must notify at least 24 hours before the game time, both
 

1)  the oppos­ing coach using the contact information listed on the schedule, and

-2)  the Regent Administrator at regentoperations7@gmail.com 

This ensure that the ref­er­ees assigned to the match will be notified of the can­cellation. 

*****If you can­cel within 24 hours of the sched­uled kick off, the team can­cell­ing will be expected to pay the ref­eree the $22 referee fee.

MAYSA Gold/Blue Procedure - applicable to teams 11U and older

Once MAYSA releases the pre­lim­i­nary sched­ule, there will be an 7-10 day Rec­on­cil­i­a­tion period.  Dur­ing this Rec­on­cil­i­a­tion period it is up to coaches to check their cal­en­dars (and communicate with their teams), to make cer­tain there are no con­flicts.  If there is a con­flict and you need to resched­ule a game, you must re-schedule it during the Reconciliation period.   

MAYSA does not make the deci­sion can­cel games due to weather. Since MAYSA is so wide spread (Dane County and beyond), it is not pos­si­ble to mon­i­tor the con­di­tions of all the fields. MAYSA does make the deci­sion for games at Red­dan Soc­cer Park, which MAYSA may decide to close due to field con­di­tions. Coaches and man­agers will be noti­fied by e-mail if that hap­pens. Oth­er­wise the deci­sion rests with the field coor­di­na­tor for the home club where the game is being played.

For MAYSA leagues, after 7am on the day of the game, the deci­sion to can­cel a match rests with the referee.

Once the game has started, the deci­sion to stop play rests solely with the ref­eree. If the game is called prior to half-time, the game is to be re-played in its entirety. If the game is called at half­time or any point there­after, the game is con­sid­ered a com­plete game and the final score stands.
